This is a privacy notice for Spark Coaching and Training. In this document ‘we’, ‘our’ and ‘us’ refers to Spark Coaching and Training. It describes how we collect, store and use your personal information as well as the rights you have in relation to your personal information.

The type of personal information we collect

We currently collect and process the following information:

  • your full name
  • job title
  • company you are currently working for
  • email address or addresses
  • preferred contact numbers
  • coaching notes, handwritten or recorded detailing what you have said, taken in sessions, and related paper/digital documentation

How we get the personal information and why we have it

Most of the personal information we process is provided to us directly by you in the following way:

  • corresponding with us by phone and e-mail
  • contacting us through our website with enquiries and requests
  • at the start of the coaching contract and during subsequent coaching and coach supervision sessions
  • you wish to attend, or have attended, an event
  • you are representing your organisation
  • you visit our website and consent to our use of cookies (see “Our website”, below)

We also receive personal information indirectly, from the following sources in the following scenarios:

  • you contact me from a directory of coaches or coach supervisors
  • an employer contacts me to arrange coaching for you

We use the information that you have given us:

  • to fulfil any contractual agreement made between us
  • to provide you with the information, products and services that you request from us
  • to notify you about changes to our services
  • to keep our coaching credentials up to date
  • to administer our business: accounting, insurance and tax
  • to ensure that content from our website is presented in the most effective manner for you and for your computer

We do not share or sell your details with third parties for marketing or research purposes.

I share basic information with 'Make Your Clinical Will' in the event that I am unable to continue seeing clients through sudden illness or my death. I have a clinical will in place to ensure that you will be contacted and offered support and referrals to alternative coaches and supervisors. You can find out more about Make Your Clinical Will here: makeyourclinicalwill.com

Our basis for processing your data

Under the UK General Data Protection Regulation (UK GDPR), the lawful bases we rely on for processing this information are:

  1. Consent: Once you have given us your consent to process your personal data you can remove your consent at any time. You can do this by contacting julia@sparkcoachingandtraining.co.uk or the contact details given above.
  2. Contract: We have a contractual obligation.
  3. Legal obligation: This principally relates to our business, accounting and tax records.

How we store your personal information

Appropriate technical and organisational measures have been taken to prevent your data being accidentally lost, used or accessed in an unauthorised way, altered or disclosed.

Data retention

We collect as little of your personal information as possible and we only retain it to satisfy any legal, accounting, reporting or professional accreditation requirements. We will only keep your personal data for as long as is necessary to fulfil the purposes for which we collected it.

For example, we need to keep certain information about you for six years after you cease to be a client for tax purposes

We have a duty to keep your personal data up to date and accurate.
